Kulturytring Drammen: Hybrid festival over tre dager

From physical, to digital, to hybrid. The planning of the event went through all scenarios and when Drammen opened up on the restrictions two weeks before the start, the organizer also opened up to some audiences and went from a fully digital to a hybrid implementation.

From June 21-23, the very first Cultural Expression Drammen took place. Three days filled with debates, artistic expressions, conversations, meetings, both in Drammen and over the screen. There has been debate, discussion, but not least there has been dialogue across areas of interest, across sectors and across organizations.

Allerede fra starten av planleggingen så vi for oss en digital versjon av Kulturytring Drammen, men da smittesituasjonen strammet seg ytterligere til våren 2021, var det vesentlig for oss å kunne nå ut til publikum med det omfattende programmet. Norsk kulturforum, som er initiativtakeren til Kulturytring Drammen, er en nasjonal organisasjon, og for oss var det også en stor verdi å kunne nå ut til fagfolk og interesserte i hele landet, uten at de trengte å reise fra sine hjemsteder.

Slik var det for de digitale deltakerne

Everyone who participated digitally was sent a link and personal login to the Kulturytring Drammen platform, a secure solution powered by Tappin’s event technology, ensuring a seamless experience. There they found all relevant information as well as a full and always updated program of what happened when. From the program they had easy access to follow the live broadcasts from all 6 stages. In the interactivity feed next to the broadcasts, they had the opportunity to submit questions to the stage and answer polls. 

I løpet av dagen ble det lagt ut opptak av tidligere sendinger slik at enkelt kunne gå tilbake for å se opptak av det de måtte velge bort eller gikk glipp av tidligere. På den måten fikk hver deltaker mulighet til å hele tiden velge innholdet som var mest relevant og interessant for den enkelte.

All participants who were physically present in Drammen were sent a personal link to the Kulturytring Drammen web app. There they found the same relevant information and updated program as the digital participants but in a mobile-friendly format. In addition, they found additional information about how to get to Drammen and the various stages, as well as information and rules for infection control during the event. From the web app, participants in the hall could also submit questions, so that the moderator on stage had all questions collected in one place regardless of whether they came from those at home or those in the hall.

To keep track of who was present, the web app also contained a QR code that participants showed for scanning at each event.

This is how it was for NOKU as the organizer

With the system from Tappin, NOKU could easily communicate with all participants, regardless of whether they participated physically or digitally. The program and relevant information are automatically updated on both the platform and web app from the same place, and it was possible for new participants to register along the way and automatically gain access to everything. 

Prosjektledere fra Tappin bistod NOKU under gjennomføringen ved å sikre at innskanningen av deltakernes QR-kode ved alle innganger fungerte som det skulle og at alle direktesendinger ble overført på rett plass til rett tid på den digitale plattformen.

NOKU opplevde en umiddelbar verdi av å benytte Tappin til gjennomføringen av dette arrangementet. Tappin ble valgt som leverandør basert på gode erfaringer fra tidligere leveranse i tillegg til at prisen var konkurransedyktig. Det var også viktig for NOKU å velge et norskdrevet firma med personlig oppfølging og nær kontakt.

We experienced the collaboration with Tappin as very good. We received good follow-up and help in advance of the event, and during the implementation two people from Tappin were present. They contributed greatly to the implementation going as well as it did, in collaboration with the streaming company Godt sagt from Drammen and us in the administration. Our personal contact from Tappin did far more than expected and was a positive contribution to the entire implementation of Kulturytring Drammen.

About planning hybrid events 

NOKU is clear that they will continue to plan and carry out hybrid events in the future even after restrictions are lifted. 

We are planning hybrid events because it is expected to a greater extent now than before. Furthermore, it is important for us to reach out to the whole country, not only for Kulturytring Drammen, but also for other events Norwegian Culture Forum stands for. The value is that we reach more people, the audience does not have to travel days, but they can still gather on a digital platform.
